It takes a village to build a love story and even a greater amount of people to plan a wedding! There are so many details, appointments, plans, color schemes, and themes to choose from that it can be overwhelming to arrange every piece of your wedding yourself. Having a Wedding Coordinator guild you through one of the best days you’ll experience in life is essential for you to enjoy all of the planning and all of the exciting moments that come to being engaged and eventually married.
The experts at Joy n’ Company (an Exclusive Vendor at Casa Romantica) are taking over Casa Romantica’s Wedding Blog to give you insider information as well as share special moments from past weddings held at the Casa. Rachel Salas (Partner and Planner) and Michelle Searles (Partner and Planner) sat down with our team to explain the importance of having a Wedding Coordinator to ensure a stress-free and fun event.
A Wedding Coordinator is essential for the execution of a perfect wedding day. Clients can think of their coordinator as their personal wedding manager. A coordinator’s role is logistically focused, helping the client piece together all the details to create a free-flowing day. From creating a timeline to documenting details and décor, to organizing the processional, and keeping vendor setup and the timeline on track, the coordinator ties all facets of the wedding together to ensure a flawless event.
“I love being the orchestrator of a client’s wedding day! It is an honor to have couples put their trust in me in that way.” – Rachel Salas, Co-Owner of Joy n’ Company.
At Joy n’ Company, we are a team of professional knot-tiers and event specialists on a mission to bring a funky, fresh take to event planning! We specialize in day-of wedding coordination, where we work with knowledgeable, savvy couples that want to plan independently, but need a professional to help button up details and provide on-site management during their big day. In addition to day-of coordination, we also provide partial planning services for clients that need help finding the perfect vendor team. We are one of Casa Romantica’s Exclusive Vendors and so happy to be a part of the family.
Designing the space at Casa is effortless because of the beautiful foundation, which is only enhanced with each client’s personal taste. We love seeing all the floral combinations and how they complement the space. From ceremony arches to centerpieces, and decorative displays, the florals truly take on a majority of the décor since the space is so timeless.
“ I love seeing the vision come to life. From the first meeting to the day of! Watching it all unfold into the day the couple has dreamt about is such a magical experience. I love when the bride gets to see her bouquet for the first time! The eyes light up and it’s just priceless.” – Michelle Searles, Co-Owner of Joy n’ Company.
We’ve been a part of many styles at Casa Romantica. From the romantic feel – an abundance of candles and neutral colors to beach themed – a surfboard seating chart and banana leaves incorporated in the centerpieces, to Spanish-inspired – mariachis playing during cocktail hour, Spanish-influenced cuisine and adorable Spanish tiles as table numbers, to Boho – macramé inclusions, pampas grass, and a tepee arch, Casa Romantica truly adapts to any style.
“Being a part of that one special day that both bride and groom will remember for the rest of their lives, is such an honor! I get to be a part of that memory and it’s my favorite thing about my job! I love feeling like family for the day, being let into a pivotal time, and all the fun moments. Getting to be the last person who sees the bride before she walks down the aisle always gets me – like, WOW! How special is that?” – Michelle Searles, Co-Owner of Joy n’ Company.
At Casa Romantica, the staff has every facet dialed in, which creates a solid structure for coordinators to follow. The team is amazing to work with and is always helpful with questions leading up to the wedding day and on the day of.
One of the best memories we have from a wedding at the Casa was one of the first weddings to take place after Covid lockdowns. To preface, the client had been through so much, having moved their date multiple times, shortening their guest count, having key family members unable to attend due to travel restrictions, etc. When their day finally came around, the joy and appreciation in the group were so apparent. During the ceremony, the groom’s father officiated the wedding and his words were filled with so much gratitude for being able to be in one space with all the influential people in the couple’s lives. The ceremony focused on the small things that we tend to forget and created a very sweet, thoughtful, and emotional message that set the tone for the rest of the evening. It was indescribable, and we wish there was a way to bottle up the overall feeling the ceremony conveyed.
“We don’t know how this happens, but all of our Casa clients have always been a dream, seriously! We’ve lucked out with so many sweet and amazing clients, which have made our experience at Casa extraordinary.” – Rachel Salas, Co-Owner of Joy n’ Company.
As San Clemente locals, it’s so special to be a part of weddings at the most historical property in town. I mean, who can beat the views at Casa Romantica?! We love how the venue captures the essence of our historical beach town and we are so lucky to perform events at this amazing venue!
Here are a few tips and tricks we’d like to bestow upon future clients to keep planning stress-free!
- Remember that getting married is the most important thing – it’s not about the “stuff!”
- Repurpose your ceremony flowers. They can be used on a sweetheart table, guest table, bar top, etc.
- In a Covid world, look for stationary that can be adjusted and delivered close to the wedding date.
- Don’t do DIY on the day of. Hire professional vendors to keep your stress level down! You don’t want to be assembling décor on the day of your wedding and miss out on being pampered by a beauty team and feeling relaxed going into the big day!
- Incorporate the color of your bridesmaid’s dresses in the details. Example: have your napkin color be the same as the dresses.
